This Privacy Policy explains how Terrarium Crew TT ("we," "us," "our") collects, uses, and protects information when you message with GAIA, our automated WhatsApp assistant, or otherwise interact with our services.

1. Information we collect

When you message GAIA on WhatsApp, we collect:

  • Your name (if provided) and WhatsApp phone number / user ID
  • The content of your messages and conversation history with GAIA
  • Order, workshop, or commercial inquiry details you share with us
  • Your customer stage (e.g., new inquiry, active order, past customer) for internal tracking

2. How we use your information

We use this information to:

  • Respond to your messages and provide customer support
  • Process orders, workshop requests, and commercial inquiries
  • Maintain a record of our conversation so GAIA can pick up where you left off
  • Route your conversation to a human team member when needed
  • Maintain internal sales and lead records

3. How your information is processed and stored

To provide this service, message content and related data are processed by the following third parties, strictly to operate GAIA on our behalf:

  • Meta / WhatsApp Business Platform — delivers messages between you and GAIA.
  • Anthropic (Claude) — processes message content to generate GAIA's replies.
  • Railway (hosting) and its PostgreSQL database — stores your conversation history and customer record.
  • Google Sheets / Google Cloud — used internally to export customer and lead records for our own sales tracking.
  • Telegram — used internally to notify our team when a conversation needs human attention.

We do not sell your information to third parties, and we do not use your data for third-party advertising.

4. Data retention

We retain your conversation history and customer record for as long as needed to provide customer support and maintain accurate business records, or until you request deletion.

5. Your rights

You may ask us to access, correct, or delete the information we hold about you at any time by contacting us at the email below. We will respond within a reasonable timeframe.

6. Children's privacy

Our services are not directed to children, and we do not knowingly collect information from children.

7. Changes to this policy

We may update this policy from time to time. The "Last updated" date above reflects the most recent revision.
